The context
At project completion, the team holds a review but quickly moves to the next assignment. Difficulties, useful decisions and observed limitations remain in minutes or conversations. Technical leadership wants to preserve reusable lessons with enough context to prevent an experience specific to one project from becoming an unsupported general rule.
The problem to solve
Raw project reviews mix facts, opinions and recommendations. Useful insights may depend on a particular constraint. Without selection or ownership, reference sheets accumulate and become outdated. Being present in a knowledge base does not establish that a lesson remains relevant or is authorized for reuse.
The proposed mission
- 01
Test extraction of candidate lessons from authorized project reviews, linking each proposed insight to documented facts, its original context and the limits that govern its possible use elsewhere.
- 02
Prepare knowledge sheets for expert correction and approval, then have a discipline owner select appropriate material before any publication or change is made to the shared knowledge base.
- 03
Measure the usefulness of approved sheets during a pilot and plan retention with owners, versions, access rights and review dates, maintaining a documented knowledge asset without assuming automatic learning.
Intended benefits
- Less knowledge lost between projects and when team members change.
- Explicit selection of shared knowledge and responsibility for keeping each entry current.
- A collection of reviewed experience that teams can consult, challenge and reassess.
How to measure the outcome
- Sheets approved by experts
- Reuses assessed as relevant
- Sheets with owner and review date
The baseline and objectives are defined during scoping, then compared with pilot results.
